 b) Sensitive personal information

Sensitive personal information includes any information which relates to:

your genetic data

your biometric data

your ethnic origin

your political opinions

your religious beliefs

whether you belong to a trade union

your physical or mental health or condition

your sexual life, and

whether you have committed a criminal offence

We may request that you provide sensitive information, but if we do, we will in every instance explain why we are requesting it and how we intent to use it. We will only collect your sensitive personal information with your explicit consent.

Candidates:

To enable HR personnel to contact you to progress your application, arrange interviews and inform you of the outcome

To make an informed recruitment decision and to assess your suitability for open positions in which you may be interested


Clients:

To enable HR personnel to contact you to arrange interviews with candidates and notify you of any candidates that may be suitable for a position with you

To enable us to match you with suitable candidates and arrange interviews and trials

To monitor a candidate that has been placed with the client

For feedback on Glow Childcare's service provided

For a reference for a candidate that has been placed with the client


Who your information may be shared with

We may share your information with:

Law enforcement agencies in connection with any investigation to help prevent unlawful activity

Candidates:

We will share your personal information with the client of a position that you have applied for, been accepted for or are working for. We will share your referee’s details with any client that you have applied to work for or are working for so that they can carry out their necessary checks directly.


Clients:

We will share your personal information with a candidate who you have requested an interview with, interviewed, trialled or employed. Information about the position only will be shared with any potential candidate that applies for the role

We will not share you personal information with any other 3rd parties.

Candidates:

Personal data will be kept for 10 years as the average candidate requires help on multiple job searches during this time.


 Clients:

 Personal data will be kept for 10 years as the average client requires a new candidate to be sourced every 2-3 years when their requirements change, until their children reach an age where they no longer require care

These periods are no longer than necessary in each case.

To maintain employment records


Clients:

To arrange interviews with candidates who may be suitable for a position with you

To suitably match candidates to a position with you

To follow up on the placement process

Keeping your information secure

We use technological and organisation measures to keep your information secure. These measures may include the following examples:

We have appropriate security measures in place to prevent personal information from being accidentally lost, or used or accessed in an unauthorised way.

Access to your personal information is limited to those who have a genuine business need to know it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.

We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.

Transfers of your information out of the EEA

Candidates: If you have expressed interest in a position outside of the EEA then we will transfer your personal data out of the EEA.

Clients: Should a candidate you have expressed interest in reside outside of the EEA then we will transfer your personal data out of the EEA.


Children and the validity of consent

Where we obtain consent from any user we will take reasonable steps to ascertain whether the user is over 13 years of age and whether the child is sufficiently informed to give valid consent. If the user is not, parental consent will be required to provide consent for the processing of any personal information.


What rights do you have?
